HR Assistant

Responsibilities: 

The HR Assistant is responsible for delivering all facets of recruiting success throughout the organization as well as supporting the HR Department. This will be achieved through the development of recruiting plans, employing traditional sourcing strategies and resources as well as developing new, creative recruiting methods.  This individual will also be responsible to develop and improve the onboarding program. The HR Assistant will play a critical role in ensuring that the best possible talent is sourced and hired and that support is provided for all other HR and Administrative functions as needed. 

Duties: 
  • Efficiently and effectively fill open positions
  • Work with HR Generalist and Hiring Manager to develop and execute recruiting plans specific to the position
  • Network through industry contacts, association memberships, trade groups and employees
  • Post open positions through online advertisements, with professional organizations, and in other position appropriate venues
  • Utilize the Internet for recruitment
    • Post positions to appropriate Internet sources
    • Improve the company website recruiting page to assist in recruiting
    • Research new ways of using the Internet for recruitment
    • Use social and professional networking sites to identify and source candidates
  • Conduct initial review of resumes received and evaluate if they meet the position requirements and forward on the HR Generalist for go-no/go
  • Conduct pre-screening interviews of potential candidates to determine their suitability to put forward to the hiring manager and HR Generalist for second level interview
  • Schedule interviews and complete reference and background checks
  • Assist in the development of an onboarding program
  • Conduct regular follow-up meetings with managers to determine the effectiveness of recruiting plans and implementation
  • Develop a pool of qualified candidates in advance if need
  • Research and recommend new sources for active and passive candidate recruiting
  • Conduct New Employee Orientation training
  • Prepare all employment letters & new hire packages
  • Assist with performance review process for all employees
  • Assist with the JHSC as required
  • Assist in developing the Service Awards Program
  • Respond to routine enquiries via phone, e-mail or in person
  • Provide administrative support to the Human Resources and Administration departments
  • Perform other related duties, as assigned, that are in accordance with the job responsibilities or as required for the departmental and corporate objectives.
Skills and Education: 
  • Post-secondary school education with a diploma or certification in HR or in a related field
  • One to two years of human resources experience required; 5 years of recruiting experience preferred.

  • Experience with recruiting – recruiting technical positions/trades an asset
  • Proven candidate sourcing and relationship building skills
  • Excellent computer skills in a Microsoft Windows environment
  • Effective oral and written communication skills
  • General knowledge of various provincial and federal employment laws and practices
  • Ability to work with various departments and foster teamwork
  • Ability to work independently with minimal supervision
  • Ability to travel for recruitment meetings, college visits, and career fairs and maintain a flexible work schedule
  • Excellent organizational skills
  • Must be able to identify and resolve problems in a timely manner
  • Gather and analyze information skillfully
  • Demonstrate resourcefulness and initiative in dealing with daily assumptions
  • High integrity and demonstrated ability to deal professionally with confidential information and sensitive associate relations issues
